This Privacy Policy explains how EasyInterview (“EasyInterview,” “we,” “us”), operated by [legal entity name], collects, uses, discloses, and safeguards personal data when you use our website and our AI-led technical interview platform (the “Service”). It applies to visitors, customers (the companies that run interviews), and candidates who take an interview.
We act as a data controller for our website visitors and account holders, and as a data processorfor the candidate interview data we handle on behalf of our customers. Where we act as a processor, the customer’s own privacy notice and our data processing terms govern that data.
1. Information we collect
Account & contact data
Name, work email, organization, role, and authentication identifiers when you sign up, book a demo, or contact us. Authentication is handled by our identity provider.
Candidate & interview data
When an interview is conducted through the Service, we process:
- Candidate identifiers provided by the customer (name, email).
- Résumé or profile content submitted for the screen.
- Audio and, where enabled, video recordings of the interview session.
- Transcripts, code written in the editor, whiteboard content, and screen activity.
- AI-generated evaluation output — scores, rationale, follow-up questions, and integrity signals.
Usage & technical data
Device, browser, IP address, pages viewed, and product interactions, collected via cookies and similar technologies and via analytics.
2. How we use personal data
- To deliver, operate, and secure the Service and conduct interviews.
- To generate evaluation reports, recordings, and transcripts for the customer.
- To provide support, respond to inquiries, and process billing.
- To maintain integrity and detect fraud or misuse during a screen.
- To improve the Service and develop new features.
- To comply with legal obligations and enforce our Terms.
We do not sell personal data, and we do not use candidate interview content to train third-party foundation models except as needed to deliver the Service.
3. Legal bases (EEA/UK)
Where the GDPR or UK GDPR applies, we rely on: performance of a contract; our legitimate interests in operating and improving the Service; your consent (for example, cookies or recording where required); and compliance with legal obligations.
4. How we share data
We share personal data with service providers (“subprocessors”) that help us run the Service, under contracts that require them to protect it. These include categories such as: real-time audio/video infrastructure, AI/LLM providers, authentication, cloud hosting and databases, object storage for recordings, and payment processing. We may also disclose data to comply with law or protect our rights, and in connection with a merger or acquisition.
5. Data retention
We retain account data for as long as your account is active. Interview recordings, transcripts, and reports are retained per the customer’s configuration and our agreement with them, after which they are deleted or anonymized. Contact us to request deletion of data we hold about you.
6. Security
We use encryption in transit and at rest, access controls, and least-privilege practices to protect personal data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your rights
Depending on where you live, you may have rights to access, correct, delete, port, or restrict processing of your personal data, and to object or withdraw consent. Candidates should contact the customer that invited them; we will assist that customer as their processor. To exercise rights against us as a controller, email hello@easyinterview.life.
8. Interview recording notice
Interviews are recorded and transcribed. Customers are responsible for informing candidates and obtaining any consent required by applicable law before an interview begins. Candidates are notified that a session is recorded before it starts.
9. International transfers
We may process and store data in countries other than your own. Where required, we use appropriate safeguards such as Standard Contractual Clauses for cross-border transfers.
10. Cookies
We use strictly necessary cookies to run the Service and analytics cookies to understand usage. You can control non-essential cookies through your browser settings.
11. Children
The Service is intended for use by professionals and is not directed to individuals under 16. We do not knowingly collect data from children.
12. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above and, where appropriate, additional notice.
